Run your boards from your own AI app

For administrators who already work with an AI app: connect it to ActionItem and ask it about your boards in your own words, or have it read your bylaws and set each board to match. You decide whether anyone in your organization can connect an app, and whether apps may change anything.

What you can ask

  • “Read our bylaws in the board's library and set the board's quorum, voting, proxies and notice to match. Show me each change first.”
  • “Which action items are overdue, and who has them?”
  • “Who has not answered for next Tuesday's meeting?”
  • “What did the board decide about the budget this year?”
  • “Find the minutes where we discussed the lease.”

Who can do what

  • Nothing is connected until an administrator turns on "Connecting members' own AI apps" in the organization's settings, under AI processing. Turning it off stops every app at once.
  • Each person's app reads as that person and sees only what they can see in ActionItem: administrators every board, directors their own boards, a guest only the meeting they were invited to.
  • Making changes needs a second switch, "Letting AI apps change board settings and draft meetings", off until you turn it on. Even then only an organization administrator's app can change a board's settings, and only an administrator's, or the board's chair's or secretary's, can create a draft meeting or add items to a meeting's agenda.
  • Each person allows their own app on a sign-in page that shows where the app is, and chooses whether it may make changes. They see their apps on their account page and can disconnect one at any time.
  • Every change an app makes is in the audit log, under the person's name with the app's name beside it.

Get started, step by step

  1. 1

In ActionItem, open your organization's settings. Under AI processing, turn on "Connecting members' own AI apps". To let apps change board settings and draft meetings, also turn on "Letting AI apps change board settings and draft meetings".

  2. 2

In your AI app, add a connector with the address below. Apps call it a connector, a custom connector, an MCP server or an integration; it is usually in the app's settings.

    https://actionitem.ca/mcp

  3. 3

Your app opens an ActionItem page. Sign in, check that the address it shows is your app's, and press Allow.

  4. 4

Ask, in your own words. Start with "What boards can you see in ActionItem?"

  5. 5

To have it set a board from the bylaws, put the bylaws in that board's library first, then ask. It shows you each change before it saves.

Set each board from its bylaws

Your app reads the bylaws from the board's library and compares them with the board's settings: quorum, voting, proxies, terms, who calls a meeting and the notice required. It lists what differs, shows you each change, and saves only what you agree to. Meetings already held keep the rules they were held under.

What it cannot do

  • See anything the person who connected it cannot see.
  • Change anything other than a board's settings, draft meetings and agenda items: settings only for administrators, meetings and agendas for administrators and the board's chair or secretary, where you allow it.
  • Send email, cast votes, or delete anything.

Your information

Your AI app is run by another company: what it reads from ActionItem goes to that company, which handles it under its own terms, possibly outside Canada. We log each request it makes (which tool and when), not what it read. Disconnect it at any time from your account page, under Connected AI apps.
