ActionItem moved to a new server in Quebec, and then had its biggest day of fixes.

Money

  • Cancelling a subscription now ends it at the end of the period you paid for, with a Resume button until then. Before, it ended immediately despite the page saying otherwise.
  • A failed card no longer hides your subscription. The billing page shows the failed payment and an "Update payment method" button, and checkout will not start a second subscription while the card is being retried.
  • Sign-up offers "Subscribe now" beside the free trial. Checkout has a "Pay today and skip the rest of my trial" switch; the button always says exactly what will be charged.
  • One free trial per organization. A returning organization pays from day one.
  • The page after checkout tells you what actually happened (paid and active until a date, or card on file with the trial running to a date), instead of guessing.

Who can see what

  • A board seat gives you that board. A meeting invitation gives you that one meeting. Organization administrators see every board in their organization. Nobody sees anything else. This applies to the dashboard, search, the action-items register, the member directory and the boards list, not only the board pages.
  • Guests invited to a meeting now receive an invitation email and can answer "I'll attend / Maybe / Can't attend" from the meeting page. Administrators see each answer.
  • Documents, exports, run sheets and the board package all honour the meeting's "share materials with guests" switch.
  • Public embeds show only the widgets an administrator allowed; the allowed-domains setting is saved now (it never was before).

Sign-in and email

  • Every emailed sign-in link works once, and only when you press Continue on the page it opens. Corporate mail scanners that pre-open links no longer burn them, and a forwarded email is worthless to anyone else.
  • Invitation and welcome links stay valid for 7 days (they expired in 15 minutes).
  • Login, password-reset and reminder emails carry the ActionItem header and footer; every email has preview text.
  • The login page's "send me a magic link" button works without JavaScript and never claims to have sent a link to an empty address.
  • Signing up with an address that already has an account sends that account a sign-in link instead of nothing.

Meetings

  • Deleting a meeting, agenda item, attachment, poll or template moves it to Trash, where it can be restored. A meeting that has been held cannot be deleted at all; it can be archived, from the meeting page.
  • Restoring a meeting from Trash brings back only what went with it.
  • Set the reminder per meeting: 1 week, 3 days, 1 day, 2 hours, or none.
  • Send the board package to the board now, or schedule it for a chosen time before the meeting. It is rebuilt at send time so late documents are included.
  • Every button that emails the board says how many people it will email.
  • Votes closed by the last ballot now appear in the decision register.
  • Action reminders use your organization's timezone. The meeting page shows the timezone next to the time.

Recording and transcription

  • Recording captures the microphone (it never did), mixed with a shared tab's audio or, on Windows, the whole system. A line under the button says what your browser can capture and the workaround for a Zoom desktop call on a Mac.
  • Transcription runs on our own server and now handles what browsers record; before, every real recording would have failed. You are notified in the app and by email when the transcript is ready.
  • New organization setting: "AI clean-up and drafting". On (default), transcript text is sent to Anthropic's Claude to tidy it and draft minutes for your review. Off, transcript text never leaves the server.

Privacy

  • Meeting titles, issue titles and board names are now encrypted in the database, like descriptions already were.
  • Email addresses no longer appear in server logs.

Everywhere

  • A "We're listening" contact page, linked from the site footer and the signed-in menu.
  • Wider main columns. Tables scroll sideways on phones instead of clipping. On a phone, the ballot form and the attendance panel come first.
  • Branded 404, 422 and 400 pages. Every submit button shows "Working…" and refuses a second click while a request runs.
  • Search in the mobile menu; accessible names on the navigation buttons; glossary tips on Quorum and Consent item where they were missing.
  • The home page no longer advertises document annotations (the feature is not finished) and says where data is hosted (Quebec, backups in Ontario) instead of "100% Canadian".

Limits

  • Organization creation and invitations are rate-limited per user.
  • The contact form rejects line breaks in names and organizations.
