  • A sidebar on larger screens keeps the pages you can open, from Boards and Meetings to Action items, one click from anywhere. Drag its links into your own order, and its edge to set its width.
  • Pin the pages you use most to Favourites at the top of the sidebar, or drag a link onto it. Your pins follow you to your other devices, and on a phone they sit at the top of the menu.
  • See each member's seats on the boards you can open from the Members page, with their role and term, and spot at a glance any term that ends within 60 days.
  • Add your title, phone, a second email and a mailing address on your Account page. Your title shows beside your name on the members pages. Administrators and the other members of your boards see your phone and second email, and administrators also see your mailing address.
  • Turn on two-factor sign-in with any authenticator app, and require it for every member of your organization from Organization Settings.
  • Mark an agenda item in camera, and only voting members and administrators can read it. Name anyone who should step out, and they see nothing of it either. Agendas, minutes, board packages and email show a neutral line in its place, and those inside keep a separate in-camera record.
  • Add an Election item to the agenda. Its candidates, the seats to fill, the votes each member gets and a secret ballot are prepared while you draft, and it opens in one click at the meeting.
  • Give each member as many votes as your bylaws say, with up to 50 candidates on the ballot.
  • Record an election held by show of hands or on paper, on a past meeting too, and it lands in the minutes and the decision register.
  • Send a calendar hold: a real calendar invitation to every board member and guest, whether the agenda is a draft or already published.

Chacun sait quoi faire ensuite

  • Flying minutes that pass by your board's rule. Choose for each board whether a decision in writing needs every member's support or the board's own voting rule counted against the whole board, with the law in Canada, the United States, the United Kingdom, France and Spain explained under More info. Every flying minute says what it needs to pass.
  • Search that knows the app. Type "votes", "library" or "roster" and go straight to the page, in English or French. Administrators also find their own pages, such as Attendance History and Billing.
  • Conflicts of interest declared on the ballot. A member with an interest in a motion declares it on the ballot, says what it is, and is left out of the count. The chair can record one for a member, who confirms it or casts their own vote. Every conflict is named on the vote and recorded in the decision register and the minutes.
  • Your dashboard, arranged your way. Drag any panel into either column, fold away the panels you check less often, set the column widths and each panel's height, and your layout is there the next time you sign in, on any device.
  • Upload a recording. Have the audio of a meeting, from a phone, a video call or a recorder? Upload it beside "Paste a transcript" and it is transcribed on our own server in Canada, then the minutes, decisions, actions and attendance are suggested for your review.
  • Your own minutes, on your own letterhead. Upload the minutes you wrote as a PDF or Word file: the board approves that file, receives it when the minutes go out, and downloads it as the minutes. Every note, decision and action recorded during the meeting stays searchable alongside it.
  • Every meeting across your boards on one page, and each board's library one click from anywhere, both in the top bar.
  • Prepare each meeting from a short checklist: the agenda and its documents, guests, the board package, then publish and email the board. Each step shows when it is done.
  • Run your boards from your own AI app. Ask the AI app you already use about your meetings, minutes, decisions, votes and action items, or have it read your bylaws from the board's library and set the board to match, showing you each change before it saves. An administrator decides whether anyone may connect, each person's app sees only what that person can see, and every change is in the audit log. Connect your AI app (actionitem.ca/ai-apps) gives the steps.
  • Each board runs by its own bylaws. Set who may call a meeting (the officers, any director, or two directors together), the notice your bylaws require, and how long a ballot can be changed. The meeting page flags a meeting called on short notice without ever blocking it.
  • Start another organization from the organization menu, and move between your organizations from any device.
  • Directors suggest agenda topics. Anyone with a seat can ask for a topic on an upcoming agenda, with a note; the people preparing the agenda see it first, marked with who asked, and add it, defer it or decline it.
  • Deferred motions come back on their own: a motion deferred at one meeting is suggested for the next agenda, with its wording.
  • Know who got the board package. The meeting names anyone the materials did not reach and sends to just those people in one click, and names anyone whose address returned the email.
  • Close an action item as Not done, with the reason on record and who marked it.
  • Attach the draft, the quote or the signed letter to the action item it belongs to.
  • A library for each board: folders, drag and drop, and upload by dropping files on the page. Every document your meetings used is kept there too, meeting by meeting.
  • Search inside every library file by name or by the words in it, scanned pages and photos included, in English and French.
  • Put a library file on the agenda with a drag. The meeting keeps its own copy, so the record never changes under it.
  • All your data stored in Canada.
  • Record meetings of up to 1 GB, and ask for more when you need it.
  • Undo on the meeting page: the person running the meeting sees their recent changes, each with an Undo button, and Ctrl+Z works too.
  • ActionItem in French: every page, email, PDF and Word document, in Quebec French. Each person chooses their language, and a French-speaking organization gets its draft minutes in French.
  • Private notes on every agenda item that only you can see. Your note follows you down the agenda and comes back when the topic does, and you can print your notes with the agenda.
  • Comment on the board papers: highlight a passage or pin a note to a page, and the board replies in a thread.
  • Votes taken in a meeting appear in the minutes, with the motion and the count. The chair can cancel a vote called in error or run it again.
  • A board export you can hand to an auditor: one zip per board with its registers as spreadsheets and a folder for each meeting, agenda, minutes and documents included.
  • Board emails go out under your organization's name, with replies to the person you choose.
  • Email activity for administrators: what the board was sent, what was delivered, what bounced and why.
  • Make another member an owner of the organization.
  • Elections. List the candidates, say how many to choose, and the result goes to the decisions register as one entry. Hold one between meetings or live in the room, with a secret ballot when your bylaws call for one.
  • A committee sends its result up to the board as a draft motion in one click.
  • Paste a transcript from Zoom or Teams, even for a meeting held before ActionItem, and get suggested minutes, decisions, actions and attendance to approve one by one.
  • Every transcript is kept with its meeting, and an administrator or the chair chooses who may open it.
  • Run the meeting from one screen: the item the room is on, a clock against its time, the next item in one click, and votes called and closed from the same place. Board members can open it to follow along.
  • Directors abroad see meeting times in their own timezone beside board time, on the page and in every email.
  • Set up a new organization in three steps, with a checklist for the rest.
  • Make a member an administrator from their row on the members list.
  • The administrator's "Needs your attention" list includes board terms ending within 30 days.
  • Vote in the meeting, on each director's own screen: Support, Oppose or Abstain, with only the number of ballots in shown until the chair closes the vote, and the result recorded in the decisions register on the spot.
  • Proxy voting, where your bylaws allow it, recorded in the attendance and the minutes.
  • A consent agenda: routine items grouped as one block and approved with one decision.
  • A held meeting keeps its quorum, whatever later changes to the board's settings or seats, and each board decides whether video attendance counts.
  • Monthly meetings: schedule the next one in a click, with the same agenda to start from.
  • A weekly digest of meetings, ballots waiting and actions due, and each person chooses which emails they get.
  • Directors answer an RSVP straight from the meeting email.
  • Administrators are told a month before a director's term ends.
  • Organization settings save as you change them.

septembre 2026

  • Send an invitation again with one click.
  • Bring your own agenda. Upload your Word or Pages agenda and it stays exactly as you made it, letterhead and all, while ActionItem reads the items out for attendance, minutes and actions.
  • Start an agenda from a ready-made template, or one your board saved.
  • Meeting documents that lead the board package.
  • Every meeting page says what to do next, for each person.
  • Everything you take away from a meeting in one Documents button: agenda, minutes as PDF or Word, run sheet and calendar entry.
  • Guests without an account answer an invitation from a private link that shows only the meeting's time, place and joining details.
  • Themes: Slate, Warm, and High contrast, with your organization's own accent colour, alongside dark mode.
  • An audit log for the whole organization.
  • See who has not answered for each board's next meeting at a glance.
  • Each person can delete their own account, and an owner can close the organization, with 30 days to change their mind.
